How to create and/or import Catalogs

Catalogs are a useful tool for your brand to group and highlight articles and

present them in a more clustered way to your retailers. You can also manage article exclusivity based on catalogs for certain Retailer Groups.

There are 2 ways to set up a Catalog:

  • create catalogs via the manual process

  • upload catalogs via catalog importer

Create a Catalog manually

1. To create a Catalog manually, select Data Manager in the main menu. Now select your brand which you would like to create a catalog for on the left.

2. Click on Create Catalog.

3. Add a Catalog name and description. Click Save to create the catalog.

4. In your newly created catalog, click on Add articles.

5. Select one or multiple articles by clicking the + icon on the top right of each image. Utilize the search bar to find your articles more easily via article number or EAN/GTIN.

Once you are done, click on Add Selection. Using this flow you can add more articles at any point in the future.

6. Finally, use the Publish button to release your catalog to the platform and your retailers.

Imported Catalogs

Imported catalogs refer to catalogs that you as a brand can import into the platform via the Data Integrations Manager (DIM) process. This allows for efficient management and uploading of catalog articles, especially when dealing with a large number of articles. You can remove or add articles to these imported catalogs only via the DIM catalog importer process.

Each article is added to a catalog at the color-level and should be linked to at least one catalog. Articles always belong to a default catalog or to an undefined catalog and can belong to many catalogs, imported or manually created catalogs.

  • As seasonal catalogs, we use season + year as article attributes or NOS. If the article has no season, or year or NOS, the article belongs to catalog “unknown seasonal”

  • An Article can belong to many catalogs.

Through the existing product data feed, brands can transmit catalog information to Fashion Cloud. For example we can receive the following product data from you:

We call “catalog code” to the external identifier brand uses to refer to their catalogs, brands will refer to this with different names.

In the example above, you would end up seeing 4 different catalogs and their products:

  • Cool hoodies (Imported)

    1. Product: hoodie_1, black

    2. Product: hoodie_1, green

  • FW24 (Seasonal)

    1. Product: hoodie_1, black

    2. Product: hoodie_1, green

    3. Product: shirt_1, blue

  • Amazing shirts (Imported)

    1. Product: shirt_1, blue

    2. Product: shirt_1, pink

  • FW23 (Seasonal)

    • Product: shirt_1, pink


You can also assign a product to multiple catalogs by adding multiple values in the same "catalog_code" column, separated by a semicolon (;). In the example before this would look something like this:

With this new set up, imported catalogs on the platform would end up looking like this:

  • Cool hoodies (Imported)

    1. Product: hoodie_1, black

    2. Product: hoodie_1, green

  • Black hoodies (Imported)

    1. Product: hoodie_1, black

  • Amazing shirts (Imported)

    1. Product: shirt_1, blue

    2. Product: shirt_1, pink

  • Green hoodies (Imported)

    1. hoodie_1, green

Limitations:

  • For imported and seasonal catalogs, adding and removing articles can only be done through the DIM process.

  • Imported catalogs need to go through the DIM process.

  • For seasonal catalogs, one article can belong only to one seasonal catalog. We have the same logic as the FC seasons attribute works on the platform.

To initiate the process of importing a catalog, please reach out directly to the Data Integrations Manager of your brand or to data@fashion.cloud.

Catalog status

A Catalog can be either Published or Unpublished.

Manually created Catalog

If you created your Catalog manually, it will be Unpublished on default and needs to be published in order for retailers to see it. This can be done within the Catalog as shown above. You can also publish your Catalog via the Catalog overview by clicking on the 3 dots. Afterwards select Publish. Unpublishing your Catalog works the exact same way.

Imported Catalog

If you imported a catalog via the DIM process, it is automatically assigned the default status of Published. However, if you are seeking control over exclusive catalogs, your Account Manager can configure the default settings for catalog creation as Unpublished. You can also set it to Unpublished via the Catalog overview.

Please note: If you do not arrange for the catalog to be Unpublished with your Account Manager beforehand, it will be visible to all retailers until you manually set it to Unpublished. If you are uploading exclusive material and wish to prevent this exposure, we recommend setting the catalog to be Unpublished by default with your Account Manager. You can then make adjustments regarding Exclusivity and publish the Catalog when you are set.

Edit and Delete a Catalog

Imported Catalogs must be adjusted via the DIM process. Manually created Catalogs can be edited as follows:

In the Catalog overview, click the 3 dots and select Edit.

You can also edit your Catalog as shown in the screenshot below.

In the edit window, make the desired changes and finally click Save.

Delete a Catalog

Imported Catalogs must be deleted via the DIM process. If you urgently need to hide a catalog, you can Unpublish it as described above until it has been removed by our Data Integrations Team.

Manually created Catalogs can be deleted as follows:

In the Catalog overview, click the 3 dots and select Delete.

You can also delete your Catalog as shown in the screenshot below.

How retailers see your catalogs

On the Catalog page, we’ve added a ‘Grid View’ to let you see how retailers view your catalogs. Click the icon on the right to preview your catalog layout.

Share your catalogs with your retailers

To share your catalog with a retailer, click on the 3 dots and select ‘Copy Link.’ Please note that if you manage articles with Exclusivity settings, only retailers with access will be able to view the catalog
